The four steps

Four steps from request to comparison.

  1. 01

    Specify

    Specify the work item by item: each item gets its parameters and quantity, alongside deadlines and required documents.

    Tender package

    The tender package is assembled from selected and filled item templates, deadlines, currency, budget, submission rules and document requirements.

    Organization members and roles

    The tender does not live in one person's inbox: organization members, roles, permissions and responsibilities remain part of the process.

    Invite

    Choose which suppliers to invite from your existing partner pool, optionally narrowed by location and expertise.

    Supplier partner network

    The partner group does not need to be rebuilt from scratch for each tender. Supplier circles, relationships and invitation logic support targeted requests.

    Location, competency and eligibility

    The tender audience can be narrowed by location, competency and predefined eligibility rules, so the request reaches the right supplier circle.

    Bid

    Invited suppliers price the same item breakdown and attach their documents and notes in the same place.

    Offers in the same structure

    Suppliers respond against the same item, parameter and note structure. Prices, clarifications and attachments do not scatter across separate files.

    Document and submission control

    Required documents, attachments and submission statuses are part of the tender, not an after-the-fact email checklist.

    Compare

    See the offers side by side, line by line, with gaps and deviations highlighted.

    The comparison view is based on the tender's item and parameter structure: items, filled parameters, prices and supplier comments are visible side by side, without after-the-fact spreadsheet work.

    Gaps and differences highlighted

    Missing documents, document statuses and differing comments are visible in the same view, so nobody has to reconstruct later which offer refers to what.

Item templates

An item can be priced well only when its parameters are clear.

In BidCraft, frequently used items live as categorized templates. When building a tender, the organization selects the right template, fills the concrete parameters and adds a note where needed. A parameter is not explanatory copy: it is a standalone value, with a unit where applicable.
